What is the difference between Person and Family Records?

The membership side of the database is comprised of individuals (persons) placed into a family record. Everyone belongs to a family which is also the giving unit for the financial side of the database.

Person Records store:
  • Person's First Name, Last Name, Middle Name or Initial
  • Birth Date & Birth Year
  • Phone Numbers such as Cell, Work that are unique to the individual
  • Gender
  • Friend Date (date first known to the church)
  • Membership Date (date joined church as official member)
  • Classification (Member, Non Member, First Timer, Regular Attender, etc)
  • Custom Fields: Nickname, Referred By, Referred by Detail (like a name, other detail, etc), and notes.
  • Group Assignments
  • Volunteer Opportunities
  • Unique Properties
  • Individual Photo
  • * The Person Record also displays which family the person is associated with and the role within the family *
The majority of person attributes are managed through the person editor, attributes such as groups, volunteer opps, properties, and individual photo are manipulated through the person viewer.

Family records store:
  • The family address
  • The family shared phone numbers such as Home Phone
  • The family shared email address
  • Send Newsletter Attribute (if checked, will print newsletter labels)
  • Wedding Date
  • latitude and Longitude used for Mapping
  • Family Members (Dialog Shows First Name, Last Name, Middle Name, Gender, Role in Family, Classification to Church and Birthdate information for easy modification)
  • Family Photo
  • Family Properties such as Marital status
The majority of family attributes are managed through the family editor, attributes such as photo and family properties are manipulated through the family viewer.

Note: When adding new people it is easier to use the "Add New Family" available from the People / Families menu. This easily allows the creation of the family and person records. See illustration below which depicts the person additions possible using the "Add New Family" function available from People / Families menu. This dialog allows the creation of up to 6 person records. Additional records are possible to add using the add new person dialog.
